Are the cabins pet-friendly?

Yes, we have two cabins (Cabins 11 and 13) that are designated as pet-friendly. There is a pet fee associated with bringing your pets!

Do outside vendors need insurance?

Yes, all outside vendors must provide proof of insurance naming Trailhead Venues as additionally insured.

Do you have a preferred vendor list?

Yes, our curated vendor list is included in your Wedding Guide. Each vendor is hand-picked and highly recommended.

What’s the difference between the Greenhouse and the Glass Pavilion?

The Greenhouse is a true Hartley Greenhouse glass structure that seats about 20 and is perfect for photos, cocktail hours, or intimate gatherings. The Glass Pavilion seats up to 50 people and features sliding glass doors for an indoor/outdoor feel — great for rehearsal dinners or welcome events. Both are surrounded by lawn space for games or tents and share a whimsical, garden-inspired vibe!

If we book Package 1, can we rent the Greenhouse or Glass Pavilion for the night before?

Yes! Based on availability, you can add on one (or both) venue spaces for an additional add-on cost!

What are the Greenhouse and Glass Pavilion used for?

Both are beautiful, flexible add-on spaces that can be used for rehearsal dinners, cocktail hours, welcome parties, post-ceremony lounge moments, or Sunday brunch!

Do you have on-site security?

Yes, security is included with all of our packages and additional security staff can be added, as needed!

Are dogs allowed?

Yes, dogs are welcome in outdoor spaces at the venue and in designated pet-friendly cabins. Your dog will be required to have a designated handler throughout the duration of your event.

Are there restrictions on decor?

Open flame candles are allowed indoors only due to our proximity to the national park. Fireworks, confetti, and traditional sparklers are not permitted. Hanging décor is welcome with advance notice. We recommend cold sparklers and bubbles for send offs!

How long do we have at the venue?

Events will conclude at 10 PM. If you’d like more time, overtime is available for an additional fee.

What's the earliest time we can access the venue?

Standard access begins at 10AM on your event day. Early access or additional hours may be added (based on availability) for an additional fee.

What is included in each package?

We offer three thoughtfully designed packages, each built for a different wedding experience—from single-day celebrations to full weekend getaways with lodging. All packages include the Grand Hall, outdoor ceremony space, cocktail patio, bridal suite, and groom’s lounge. Packages vary in length of access, number of cabins, and included services!

How many people can the cabins sleep?

Our 15 cabins all together sleep up to 68 guests. The exact breakdown: (12) 1-bedroom studio style cabins - Sleep 4 people each. (2) 2-bedroom lofts - Sleep 4 people each. (1) 5 Bedroom Cabin featuring 3 stories, an indoor pool, and hot tub! It can sleep 12.

How many guests can your venue accommodate?

Our wedding venue comfortably accommodates up to 130 guests, offering an intimate and unforgettable setting for your wedding celebration!

Do you have a bridal suite and groom’s lounge?

Yes, we offer two luxurious and private suites designed for comfort, relaxation, and a beautiful start to your wedding day.

Do you have exclusive vendors?

Yes, catering & bartending are our only exclusive vendors and you will be required to use our catering/bartending vendors.

Can we provide our own alcohol?

Yes, you are welcome to bring your own alcohol. However, it must be served by our licensed bartenders to ensure the highest level of safety and service.

What if it rains? Is there an indoor backup option?

Yes, your day will be beautiful—rain or shine. In case of inclement weather, we offer a lovely indoor space to seamlessly relocate your ceremony. The Grand Hall doubles as a beautiful indoor ceremony space, complete with mountain views through our nano doors.

Do we have to use vendors from your preferred vendors list?

We maintain a curated list of trusted preferred vendors to ensure a high standard of service. Catering + bar are our only exclusive vendors. For all other categories, couples may bring outside vendors who are approved by the venue prior. We’re happy to guide you through the process.

Is Trailhead Venues handicap accessible?

Yes, our venue is fully handicap accessible to ensure all guests feel welcome and comfortable.

Do you offer on-site lodging for guests?

Yes, we are pleased to offer 15 beautifully appointed cabins on-site, allowing your guests to stay close by and enjoy the full Trailhead experience.

Can you help us plan our wedding?

Absolutely. While we do not have an in-house planner or coordinator, we proudly partner with exceptional wedding planners who will work closely with you to bring every detail of your vision to life!

Is your wedding venue available for both ceremonies and receptions?

Yes, we are honored to host both your ceremony and reception. We’re here to create a seamless wedding experience for you and your guests.

Where is Trailhead Venues located?

We are nestled just 23 minutes from Gatlinburg, beautifully positioned on the edge of the Great Smoky Mountains National Park. A breathtaking & private setting for your special day!

What is the deposit requirement?

To reserve your date at Trailhead Venues, we require a 50% deposit. For guests selecting our Trailhead Luxury package, a customized deposit and payment structure applies. Please contact us directly for tailored details and personal assistance!
